Office Coordinator

Job Summary

Commonwealth Foundation is seeking a proactive and organized Office Coordinator to join our team and support our daily operations. They are responsible for overseeing administrative tasks, managing office resources, and supporting various departments to optimize productivity and effectiveness. The ideal candidate will have a natural flexibility in handling day-to-day routines as well as surprises with a positive attitude. This position is based in our home office in Harrisburg, PA.

Key Responsibilities

  • Greeting visitors and clients in a professional and friendly manner.
  • Managing incoming calls and emails, directing them to the appropriate staff members.
  • Handling incoming and outgoing mail and packages.
  • Maintaining office supplies inventory and placing orders as needed.
  • Purchasing supplies/refreshments, maintaining and cleaning breakroom. 
  • Coordinating meetings, appointments, and conference room bookings.
  • Providing set up/clean up, technical support and arrangements for catering for monthly all staff meetings.
  • Assisting with travel arrangements and accommodations for staff members.
  • Organizing and maintaining office filing systems, both electronic and physical.
  • Assisting with the preparation of reports, presentations, and other documents.
  • Providing general administrative support to executives and team members as needed.
  • Other duties as assigned.

  • Excellent interpersonal and communication skills, with a strong ability to build and maintain relationships with internal and external stakeholders.

  • Strong organizational and multitasking abilities.
  • Tech savviness is a must.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently with minimal supervision.
  • Positive attitude and willingness to learn and adapt in a fast-paced environment.
  • Proven experience as an office coordinator, administrative assistant, or similar role.

Education and Experience

  • High school diploma or equivalent; additional education or certification in office administration is a plus.

Physical Requirements:

  • Ability to lift and carry objects weighing up to 50 pounds.
  • Must be able to stand, walk, and move about the office or work site for extended periods.
  • Ability to bend, stoop, and reach overhead.
  • Capable of operating office equipment and machinery.
  • Must have sufficient vision, hearing, and manual dexterity to perform job duties effectively.
  • Physical stamina and endurance to handle the demands of a fast-paced work environment.
  • Occasional work required outside normal business hours.
  • The ability to run errands for office supplies.
